SYC Rental Form

Prior to the date requested, The Board of Governors must grant approval of the application and payment must be received. Members may not rent on behalf of non-members, businesses, other organizations, or for the purpose of organizing another event.

Rental Terms and Conditions

Cleaning deposit - There is a cleaning deposit of $125 in addition to the rental fee for the Club House, the Pavilion, and the kitchen. The deposit will be returned to the renter if the House Chair (or their designee) deems that the club house has been properly cleaned and no damages occurred. Any damages shall be the sole and full responsibility of the renter. Liability shall be for the cost of repair or replacement of the damaged item or area. Following the event, all trash is to be removed and placed in the dumpster, floors swept clean/mopped if dirt is tracked inside, tables/chairs returned to original configuration, all kitchen-ware cleaned and returned to proper place, gas turned off, all windows closed and secured, doors locked, and AC or Heat turned back as instructed.

Payment terms – All rental fees must be paid in full prior to the event. Reservations will be automatically cancelled if payment is not received two weeks prior to the event. Any additional fees incurred, including but not limited to damages, extended use, or cleaning charges, must be paid within 30 days following the event. Failure to pay outstanding balances within this period may result in revocation of membership privileges until payment is received.

Stove instructions - If the rental includes the use of the kitchen stove, you must make yourself available for instruction on the operation of the stove prior to the rental event.

Catering - If a caterer is used, SYC expects that the caterer will be properly insured and could furnish proof upon request.

Tableware – It is the responsibility of the applicant to provide tableware for the event. SYC tableware may not be used.

Decorations – Removal of club décor is prohibited. Any decorating on the day or evening prior to the date of the rental must be scheduled and confirmed with the board, alongside required payment. The renter shall not use staples, tacks, tape, or glue on any of the facility walls, ceiling, wood surfaces, or any other SYC property. Bulletin boards may be covered in fabric, but content may not be disturbed or destroyed. Putty may be used to affix decorations to the ceiling/walls.

Ordinances - It is the responsibility of the applicant to ensure attendees abide by local ordinances for noise and event times.
